Group Reservation Information
We welcome groups and offer aggressive discounting of our rates depending on the number in your group, the length of stay, and site availability. We want your business and even offer discounts on the weekends. Holidays and flea market days are of course our busiest times and availability during these times may be limited but be assured we will do our best to try and accommodate your group.
Give us a call today so we can address your groups needs, check site availability and of course offer you a special price.
Please take the time to read on to find out more about how we handle group reservations.
If your members wish to make individual reservations, they will not be considered part of the group, the group discount will not apply and published rates are applicable. Should the number in your group change significantly, so too may the discount.
Early arrivals or late departures will have to make their own reservations with the park. We will try to put them on the same site as they will be on during the group outing but we can not guarantee that site will be available so we encourage you to have them call in early for individual reservations. We will be happy to extend the discount to their early arrival or late departure provided their name appears on the Wagon Masters group reservation form.
The Wagon Master must collect the money from members. We are sorry but we cannot collect an individual group member’s money for you or your group. You will have to handle your own finances. The reason we offer discounts is because when a Wagon Master (group representative) is handling all transactions we only have to deal with one individual. This saves us time and we can offer a discount. Clubs know and understand this and that is why they have Wagon Masters and why we deal with their Wagon Master.
The Wagon Master is responsible for payment. The Wagon Master is the individual who deals with us directly so we do not have to handle individual reservations. Most clubs have a secretary, checking account or credit card. The club either collects dues or collects a certain amount in advance to cover the cost of the outing. Some collect just the deposit and then collect the balance due prior to making their final payment to the park.
Payment to the park is handled in two installments, either by two checks, by credit card or cash. The first payment is a non-refundable reservation deposit and is due at the time the reservation is reserved. It is for the total of the first nights stay plus all taxes. This is considered a non-refundable reservation fee. The second payment is for the balance due and payable when the Wagon Master arrives.
Additional Wagon Master responsibilities include being responsible for all contact with the park, reserving the sites, assigning the sites, meeting their members on arrival, directing them to their site and acting as the liaison between the member and the park. We also have a “Wagon Master Group Reservation Form” which will need to be completed and returned to us with your reservation check, or within a week of your credit card payment. This form is available on our web site at http://www.amish.org/wmgrf.pdf. You will need Adobe Acrobat Reader which is available free at http://www.adobe.com/products/acrobat/readstep2.html
The Wagon Master arrives first with the group’s “parker”. Once the payment has been finalized the Wagon Master and the “parker” may start parking the members on their respective assigned site. Check in goes more smoothly when you do things this way. Should you need to move someone from an assigned site to a different site you must notify us so we can update their location in our books. In the event of an emergency we need to know where they are located.
Our group cancellation policy requires that the first night’s reservation deposit be forfeited should you cancel the group outing. Individual cancellations within the group will also forfeit the first night. We are sorry but we do not issue refunds, rain checks or allow rescheduling or site transfers.
